Senior Event Officer


Location: London

Salary: 30-35K depending on experience

The role

IPSE is recruiting for a Senior Event Officer to deliver an annual programme of events within the UK.  The successful candidate will organise, promote and execute our two flagship events of the year – National Freelancers Day and IPSE Awards – along with a range of other events to drive membership acquisition, engagement and retention.

You will also deliver on IPSE’s exposure at other major industry conventions – designing our presence with exhibition stands, sponsorships, keynotes and other activity.

The successful candidate will be extremely well organised with the ability to multitask and be able to confidently manage the logistics of events from start to finish.  You will have a natural flair for events and enjoy creating new types of events with innovative ideas.

Key Responsibilities

  • Creating and coordinating event schedules
  • Managing all event logistics in the lead up to events and onsite in a live environment – events include conferences, exhibitions, seminars and webinars
  • Creating and coordinating exhibitor, sponsor and speaker briefs, resources and equipment
  • To build great working relationships with venues, contractors, stakeholders and national convention bureaus
  • Speaker management including inviting speakers, keeping up to date speaker databases, collating speaker information and being their main point of contact onsite
  • Setting up registration systems for multiple events
  • Source and negotiate with contractors (AV, catering, signage etc) and venues
  • Assist in the promotion of events including updating content on event websites and app, Eventbrite page, email marketing
  • Working with the digital team to create content, such as blogs, interviews, graphics and video
  • Manage day to day queries and emails from attendees, sponsors and exhibitors, providing them with event information as and when required
  • Coordinate all promotional material from sponsors and exhibitors
  • Post event evaluation, coordinating feedback reports and internal debriefs
  • To represent and be the ‘face of’ IPSE at external events
  • Update event budgets
  • Research and attend relevant events for inspiration and partner opportunities
  • Build/manage relationships with co-working spaces to support, promote and develop their offering and community events
  • Stand in for the Event Manager as and when required

The role will involve some travelling to destinations within the UK, along with occasional evening work at events.


Who you are

  • You will be a great project manager, able to schedule more than one event at a time and keep others on track (internal and external)
  • You understand that the purpose of events is to drive results, and are passionate about driving external and internal stakeholders to success
  • You will have excellent organisational and time management skills
  • An exceptional customer service when communicating both written and verbal to event attendees, members, stakeholders etc.
  • You have excellent relationship building skills with an ability to work with a variety of stakeholders
  • You need to be confident working with internal and external teams and partners, with the ability to negotiate with venues and contractors.



  • You will be educated to at least a university degree level (or equivalent)
  • You will have at least 4 years’ experience of event planning
  • Experience in the subscription or membership industry preferred
  • Marketing experience preferred
  • You will be proficient in MS Office and have used CRM or databases before. 
  • Self-motivated, with a strong work ethic, looking for the right company to support personal growth
  • Above all you will be keen to learn and develop experience and skills within the events team.
